Job Summary:

The Elite Job is seeking a detail-oriented and proactive Construction Virtual Assistant to support our project management teams with comprehensive project documentation. This remote role involves organizing, maintaining, and managing all construction-related documents, ensuring accuracy, compliance, and timely availability for project stakeholders. The ideal candidate is highly organized, technologically adept, and familiar with construction project workflows.

Key Responsibilities:

  • Prepare, organize, and maintain project documentation including contracts, drawings, reports, invoices, permits, and progress reports.

  • Assist project managers in tracking project timelines, milestones, and deliverables.

  • Maintain a centralized digital filing system for all construction documents and ensure version control.

  • Support the preparation of project progress reports, status updates, and internal documentation.

  • Collaborate with cross-functional teams to gather necessary project information and documentation.

  • Ensure compliance with company policies, safety regulations, and legal requirements in all documentation.

  • Follow up on pending approvals, signatures, and submissions for smooth project operations.

  • Coordinate with vendors, contractors, and clients for document submissions and clarifications.

  • Provide general administrative support to the construction team as needed.

Required Skills and Qualifications:

  • Strong organizational and multitasking skills with a keen eye for detail.

  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace.

  • Familiarity with construction project management software (e.g., Procore, Buildertrend, PlanGrid) is preferred.

  • Excellent written and verbal communication skills.

  • Ability to manage confidential and sensitive information with discretion.

  • Knowledge of construction documentation standards, project workflows, and compliance requirements.

Experience:
