Job Summary

The Elite Job is seeking a highly organized and proactive Event Planning Virtual Assistant to support our growing team in managing and coordinating events remotely. This role requires a detail-oriented individual who can efficiently handle administrative tasks, communicate with clients and vendors, and ensure that all event activities run smoothly from conception to execution. As a key member of our remote team, you will play an essential role in helping the company deliver memorable events while maintaining the highest standards of professionalism and efficiency.

Key Responsibilities

  • Coordinate and manage virtual and in-person events, including corporate meetings, webinars, workshops, and social gatherings.

  • Communicate with clients, vendors, and stakeholders to confirm event requirements and logistics.

  • Maintain and update event schedules, calendars, and task lists to ensure deadlines are met.

  • Assist in preparing event materials, presentations, and reports.

  • Support the team in booking venues, arranging equipment, and managing vendor contracts.

  • Track event budgets, manage invoices, and ensure cost-effective planning.

  • Provide real-time support during events, including troubleshooting and coordination.

  • Conduct post-event evaluations and prepare summary reports for internal teams.

  • Maintain an organized system of documentation and event records.

Required Skills and Qualifications

  • Proven experience in virtual assistance, event planning, or administrative coordination.
