Job Summary

Southwest Airlines is seeking a highly organized and proactive Executive Virtual Assistant to support our senior leadership team in managing day-to-day operations, schedules, and confidential communications. Key Responsibilities

  • Provide comprehensive virtual administrative support to executives, including managing calendars, scheduling meetings, and coordinating travel arrangements.

  • Prepare, proofread, and edit reports, presentations, and correspondence.

  • Handle confidential information with absolute integrity and professionalism.

  • Organize virtual meetings, including setting agendas, preparing materials, and taking detailed minutes.

  • Act as a point of contact between executives and internal/external stakeholders.

  • Monitor emails, prioritize correspondence, and respond on behalf of executives when appropriate.

  • Track deadlines, projects, and deliverables to ensure smooth workflow.

  • Assist with research, data entry, and special projects as assigned.

Required Skills and Qualifications

  • Bachelors degree in Business Administration, Communications, or related field (preferred).

  • Proven experience as an Executive Assistant, Virtual Assistant, or similar administrative role.

  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and collaboration tools such as Zoom, Teams, and Slack.

  • Exceptional organizational skills with strong attention to detail.

  • Excellent written and verbal communication skills.

  • Ability to manage multiple tasks and priorities under tight deadlines.

  • High level of discretion and ability to handle confidential information.

Experience

  • Minimum of 2–4 years of executive-level administrative support experience.

  • Experience supporting C-suite executives in a fast-paced corporate environment is strongly preferred.

  • Previous experience working remotely is an advantage.

Working Hours

  • Full-time, remote position.

  • Standard working hours are 9:00 AM – 6:00 PM (CST), with some flexibility required for urgent tasks and executive availability across different time zones.
