Job Summary

HR Service Jobs is seeking a highly organized, self-motivated Virtual Assistant – Administrative Support professional to provide comprehensive remote assistance to our team. The ideal candidate will be responsible for managing daily administrative tasks, coordinating schedules, handling correspondence, preparing reports, and ensuring smooth business operations. This role requires strong communication skills, exceptional time management, and the ability to work independently in a fast-paced environment.

Key Responsibilities

  • Provide administrative support including email management, calendar scheduling, and meeting coordination.

  • Draft, edit, and proofread documents, presentations, and reports.

  • Manage databases, records, and digital filing systems efficiently.

  • Coordinate communication between departments and clients through calls, emails, and virtual meetings.

  • Conduct online research, summarize findings, and present data as required.

  • Handle invoice preparation, basic bookkeeping, and expense tracking.

  • Assist in project coordination and maintain progress reports.

  • Monitor and respond to inquiries on behalf of management.

  • Support HR and recruitment activities including interview scheduling and candidate follow-ups.

Required Skills and Qualifications

  • Bachelors degree in Business Administration, Management, or any related field preferred.

  • Proven experience as a Virtual Assistant or Administrative Support Specialist.

  • Excellent written and verbal communication skills in English.

  • Strong organizational and multitasking abilities.

  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace.

  • Knowledge of project management tools such as Asana, Trello, or Slack is a plus.

  • High attention to detail and discretion with confidential information.

  • Ability to manage time effectively and meet deadlines.

Experience

  • Minimum of 1–3 years of relevant experience in administrative or virtual assistant roles.

  • Experience working remotely with international teams will be an added advantage.

Working Hours

  • Flexible remote working schedule (Monday to Friday).

  • Availability during core business hours (9 AM – 6 PM IST or as per project requirements).
